Carrier Compliance & Administrative Specialist (Remote)
Our client is seeking a highly organized and detail-oriented professional to join their team as a Carrier Compliance & Administrative Specialist. This role involves working closely with the Operations, Accounting, and HR teams to ensure smooth compliance processes, accurate documentation, and effective communication with carriers and vendors. The ideal candidate will have experience in brokerage, trucking, or freight forwarding (FF) and a strong understanding of industry regulations and administrative procedures.

Job Type: Full-time/Work from home

Responsibilities:
  • Verify carrier MC numbers and support the Operations Team in ensuring compliance.
  • Contact vendors and carriers via phone and email to obtain updated documents.
  • Track all incoming shipments to ensure they are accounted for and properly managed by the Operations Team.
  • Collect and organize pre- and post-delivery documents (e.g., Pictures, BOLs, PODs) from carriers.
  • Ensure loads are closed with the correct documentation in a timely manner.
  • Collect and maintain required documents such as Credit Applications, W9s, and other necessary paperwork for new and existing clients.
  • Assist the Accounting Team by obtaining references for new clients when necessary.
  • Collecting and managing onboarding documents for new employees.
  • Uploading necessary paperwork into the payroll portal.
  • Distributing company policies and ensuring adherence/compliance.
  • Reviewing timesheets and flagging discrepancies as needed.
  • Handle additional administrative and HR tasks as assigned by management.
Experience:
  • 1-2 years in brokerage or asset transportation. Candidates with a background in carrier sales are also encouraged to apply.
  • Strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
  • Excellent verbal and written communication skills for interacting with carriers, vendors, and internal teams.
  • Experience with industry software, compliance tracking tools, and Microsoft Office Suite (Excel, Word, Outlook).
  • Ability to work independently, troubleshoot issues, and ensure compliance with industry standards.
